A business product with a credit line application flow and a customer area for loan management. I redesigned the application into a shared process for the whole team.

Context

A credit line application is a 5-step KYB (Know Your Business) process. It has to do three things at once:

  • meet regulator requirements;

  • collect enough data to approve the loan and set the limit;

  • get the contract signed by the right authorized person.

The set of documents changes based on company structure and loan amount: collateral, guarantors, extra covenants.

The core problem: one person almost never fills this out alone. The director approves the amount, the accountant gathers documents and bank statements, the lawyer checks the contract — but the interface was built for a single user.

  • Let users invite a teammate at any step;

  • show who has access and the status of each invite;

  • let users manage invites (revoke, limit, resend) without contacting support;

  • support one person working across several companies — useful for outsourced accountants.

Process
  1. Mapped the roles. Looked at who is involved in an application (director, accountant, lawyer) and when each one is needed.

  2. Set the ground rules. Locked in key decisions before designing: invites work on any step, access lives at the user level (not the company level), invites are managed without support.

  3. Designed the flow. Built the invite form, participant list, status states, notifications, and the sign-up flow for invited users.

  4. Handled user data carefully. Made sure the person sending an invite understands what data is being collected and why — shown clearly in the moment, not hidden in fine print.

  5. Solved for multi-company use. Chose phone-based sign-in instead of email, so one person can work on applications for different companies without a separate account for each.

Solution

"Shared Access" button

Available on every step, in the header — not buried in settings.

Invite form

Minimum fields: name, email, phone, access level (default is "Admin"; larger companies get a "Basic" role scoped to specific products). Next to the form, a clear note on what data is collected and why.

Managing invited users

A list of people who already have access and those still pending. Each entry shows access level, with an option to edit or revoke.

Notifications and invite sign-up

A toast appears when a teammate accepts, visible from any step. Sign-up runs through phone OTP, with a separate confirmation step to prevent spam and mixed-up companies.

Result

  • Higher share of applications reaching contract signing, especially for companies with several participants;

  • fewer support requests about adding a colleague;

  • multi-company support opened up a new segment — outsourced accountants who previously couldn't start a second application from the same phone number.
